About the Role
We’re looking for a proactive, detail-oriented Receptionist/Administrative Assistant to support our Vice President of Operations and the broader team. This is a true hybrid role: you’ll be the welcoming first point of contact for the office while also taking on meaningful administrative work — coordinating travel, managing expense reports, handling legal document workflows, and supporting recruiting efforts. It’s a great fit for someone who enjoys variety, takes ownership, and wants to build a career in corporate operations.
What You’ll Do
Administrative & Operational Support
- Manage, coordinate, and schedule internal/external meetings, travel, lodging, and transportation
- Initiate and maintain monthly Concur expense management reports
- Coordinate and circulate legal documents for execution
- Support staffing efforts — job postings, resume distribution, and interview scheduling
- Create, label, maintain, and archive filing systems as assigned
Front Office & Reception
- Answer, screen, and forward incoming calls and emails
- Welcome and guide visitors, ensuring a professional first impression
- Receive, sort, and distribute incoming mail; prepare outgoing mail and FedEx shipments
- Track incoming packages and place IT/hardware support tickets as needed
- Order office supplies and coordinate lunches for in-house meetings
- Help maintain a clean, organized, and welcoming office environment
What We’re Looking For
- Proficient in Microsoft Office (Excel, Outlook) and Concur, or similar tools
- Strong written and verbal communication skills
- Excellent organizational skills with the ability to multi-task and prioritize independently
- A reliable, punctual self-starter with a track record of strong attendance
- A natural problem-solver with great interpersonal skills
- Comfortable typing at least 35 WPM
Education & Experience
- Associate degree required; Bachelor’s degree preferred
- 2–5 years of relevant office experience preferred
- Valid driver’s license and reliable daily transportation required
- Must be authorized to work in the United States
Schedule & Compensation
- Full-time, salaried exempt role, 8:00 AM – 5:30 PM with a one-hour lunch
- Salary range: $55,000 – $65,000, commensurate with experience
